1. Introduction

This Privacy Policy describes how Uchina Support Services (“we,” “us,” or “our”) collects, uses, and protects information submitted through Précis, a private briefing platform (“the Service”). We are committed to handling your information responsibly and in accordance with applicable privacy laws, including Japan’s Act on Protection of Personal Information (個人情報保護法, “APPI”).

2. Information We Collect

When you use the Service, we collect the following:

  • Audio files — voice recordings or uploaded audio submitted by your organization for transcription and briefing generation
  • Briefing content — written briefings generated from your audio, including any editorial revisions
  • Account information — your email address and password used to access the Service
  • Payment information — billing details submitted through Stripe, our payment processor. We do not store payment card details. Stripe is certified as a PCI Service Provider Level 1, the highest level of payment security certification. See Stripe’s Privacy Policy for details.
  • Usage data — logs of service activity associated with your organization account

We do not collect personal information from briefing recipients who access published briefing links. Those pages require no login and collect no data.

3. How We Use Your Information

We use the information we collect solely to provide the Service:

  • Transcribing audio into text using AI processing
  • Generating polished written briefings from transcriptions
  • Storing and providing access to your briefing archive
  • Maintaining account access and security
  • Monitoring for abuse and ensuring service integrity

We do not use your information for advertising, analytics, or any purpose beyond delivering the Service to your organization.

4. Third-Party Processors

To provide the Service, we transmit data to the following third-party processors. By using the Service, you acknowledge that your data will be processed by these parties.

In accordance with APPI Article 24, we disclose that personal information may be transferred to and processed in the United States. Render, OpenAI, Anthropic, and Stripe maintain data protection policies consistent with international standards.

5. Data Retention

  • Audio files — retained for the duration of your organization’s account with the Service, and deleted upon account termination or written request
  • Briefing documents — retained for the duration of your organization’s account, and deleted upon account termination or written request
  • Usage logs — retained for up to 12 months for service integrity purposes

6. Data Security

We implement the following security measures to protect your information:

  • All data is encrypted in transit using TLS
  • All data is encrypted at rest using AES-256 (via Supabase)
  • Audio files and briefings are stored in private, access-controlled storage buckets
  • Published briefing links are private and not indexed by search engines
  • API keys and service credentials are never exposed client-side
  • Payment card data is never stored by us and is handled exclusively by Stripe

7. Your Rights Under APPI

As a user of the Service, you have the right to:

  • Access — request a copy of the personal information we hold about your organization
  • Correction — request correction of inaccurate information
  • Deletion — request deletion of your organization’s data at any time
  • Disclosure of third-party transfers — request information about how your data has been shared with third parties

8. International Users

The Service is operated from Japan and is primarily intended for use by organizations in Japan. Users from other countries, including the United States and other English-speaking countries, may use the Service, but should be aware that their data will be stored in Japan (ap-northeast-1) and processed in the United States by our service providers as described in Section 4.

We do not intentionally serve users in the European Economic Area and do not represent compliance with the EU General Data Protection Regulation (GDPR). Users subject to GDPR should consult their own legal counsel before using the Service.

9. Cookies and Tracking

The Service uses session cookies solely for authentication purposes. We do not use tracking cookies, advertising cookies, or analytics cookies. No cookie consent banner is required or displayed.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of the Service after changes constitutes acceptance of the updated policy. For material changes, we will notify active users by email.
